Privacy Policy

GatherPop is a party and entertaining planner operated by HAHA Studios ("we", "us"). This policy explains what we collect, why we collect it, and what we will never do with it. We have tried to write it in plain language rather than legal fog.
The short version. We collect the minimum needed to plan your night and keep your account working. We do not sell your personal information. We do not store content pulled from your Pinterest account. You can delete your account and everything in it at any time.
1. Who we are
GatherPop is a product of HAHA Studios, based in the United States. For any privacy question, request, or complaint, contact us at [email protected].
2. Information we collect
Information you give us
- Account information. When you sign in with Apple or Google, we receive your name and email address (or Apple's private relay address if you choose to hide your email). We never receive or store your password for those services.
- Hosting preferences. Dietary restrictions, default headcount, the streaming services you subscribe to, and similar settings you choose.
- The nights you plan. Menus, drink selections, streaming picks, setlists, shopping lists, dates, and any titles or notes you add.
- Support correspondence. If you email us, we keep the message and our reply.
Information from your guests
When you share a guest link, people who open it can enter a display name, RSVP, vote on what to watch, and optionally flag dietary needs. Guests do not create accounts, and we do not ask them for anything beyond what appears on that page. A small cookie remembers a guest's own vote on their own device so they are not asked twice.
If you enter a guest's name or dietary information on their behalf, you are responsible for having their permission to do so.
Information collected automatically
- Device and usage data. Device type, operating system version, app version, crash reports, and coarse usage events (for example, "a plan was generated") used to fix bugs and understand which features matter.
- Log data. Our servers record IP address, timestamp, and request path for security and abuse prevention. These logs are retained for a short period and then discarded.
We do not collect precise location data, contacts, photos, or microphone input.
3. How we use information
- To generate night plans, shopping lists, and setlists you request.
- To save your nights so you can return to or repeat them.
- To operate guest links, voting, and RSVPs.
- To send transactional notifications you have opted into, such as a reminder the day before a night or an alert that guests have voted.
- To manage subscriptions and entitlements.
- To diagnose crashes, prevent abuse, and improve the product.
- To comply with legal obligations.
4. Service providers we share with
We share only what a given provider needs to do its job. We do not sell personal information, and we do not share it for cross-context behavioural advertising.
- Apple and Google — authentication (Sign in with Apple / Google) and subscription billing through their app stores.
- Anthropic — we send the plan request context (vibe, headcount, dietary constraints, and a list of candidate recipes, drinks, and titles) to Claude to assemble your plan. We do not send your name or email address.
- Recipe, streaming, and catalogue data providers — we query these for recipe, title, and availability data. Queries carry the search terms, not your identity.
- Apple Music (MusicKit) — only if you explicitly connect it, and only to resolve tracks and create a playlist in your library at your request.
- Pinterest — only if you explicitly connect it. See section 5.
- Subscription and analytics infrastructure — to manage entitlements and aggregate product analytics.
- Push notification delivery — to send the notifications you opted into.
We may also disclose information if required by law, to enforce our terms, or to protect the rights and safety of our users. If we are ever involved in a merger or acquisition, we will give notice before your information becomes subject to a different policy.
5. Pinterest data — what we do and do not keep
GatherPop can turn a Pinterest board into a themed party plan. This is entirely optional and only happens after you connect your Pinterest account and choose a specific board.
We do not store content retrieved from the Pinterest API. Pin images and board contents are fetched at the moment you ask for a plan, analysed in memory, and discarded. They are not written to our database, not cached, and not used to train any model. Each time we need Pinterest information, we call the API again.
What we do keep is our own analysis output: a short theme profile containing a colour palette, descriptive style tags, an occasion guess, and suggested decor and food cues, alongside a reference to which board you selected. This is content we generated, and it is what lets you reopen a themed night later without reconnecting.
We do not combine your Pinterest information with other users' information, and we do not share or sell it to anyone. You can disconnect Pinterest at any time in settings, which deletes our stored access tokens immediately. Access tokens are encrypted at rest.
6. Affiliate links and advertising
Some decor and tableware suggestions link to Amazon using affiliate links, which may earn us a commission. As an Amazon Associate I earn from qualifying purchases. Following one of these links takes you to Amazon, where Amazon's own privacy policy and cookies apply — we do not receive information about what you browse or buy beyond aggregate commission reporting. We do not run third-party display advertising in the app, and we do not use advertising trackers.
7. Cookies
The GatherPop website and guest pages use a small number of cookies: one to remember a guest's vote on their own device, and essential cookies for security and load balancing. We do not use advertising or cross-site tracking cookies. Amazon may set its own cookies once you follow an affiliate link to their site.
8. Retention and deletion
We keep your account information and saved nights for as long as your account is active. You can delete an individual night at any time, or delete your entire account from within the app, which removes your account record, preferences, saved nights, theme profiles, and stored tokens. Deletion is permanent and we cannot recover a deleted account. Backups are purged on a rolling cycle within 30 days. We may retain limited records where the law requires it.

9. Your rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to opt out of its sale or sharing (we do neither), and to be free from discrimination for exercising these rights. Residents of California, other US states with comprehensive privacy laws, the United Kingdom, and the European Economic Area have these rights under their local law. To exercise any of them, email [email protected]. We will respond within the period required by applicable law and will not charge you for a reasonable request.
10. Security
We use encryption in transit, encryption at rest for authentication tokens, access controls on our infrastructure, and least-privilege practices for the small number of people who can reach production systems. No system is perfectly secure, and we cannot guarantee absolute security, but we will notify affected users and regulators as required if a breach occurs.
11. Children
GatherPop contains alcohol-related content and is rated for adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 13 (or the minimum age in your country). If you believe a child has provided us information, contact us and we will delete it.
12. International transfers
We operate in the United States, and our service providers may process data in the United States and other countries. Where required, we rely on appropriate safeguards such as the European Commission's standard contractual clauses for transfers out of the EEA and UK.
13. Changes to this policy
We will update this page when our practices change and revise the date at the top. For material changes we will give notice in the app or by email before the change takes effect.
